Privacy Policy

1. General

AKA Intelligence ("AKA Intelligence," "Company," or "we") provides this Privacy Policy to describe how we collect, use, and share information. This Policy applies to EOS and the website at akaeos.com, collectively (the "Service"). By accessing the Service, you agree to this Privacy Policy. AKA Intelligence serves as the data controller for personal information processed about visitors and account holders; where the Service is used by an organization, that organization is the controller of the data its Users submit, and AKA Intelligence processes it on the organization's behalf. Material changes will receive at least 7 days' notice within the Application before taking effect.

2. The Information We Collect

i. Information you provide

• Account and contact information: name, username, work email, profile picture, password, organization, and job title or role.
• Payment and billing information: for paid plans, billing contact, billing address, and payment card details (processed by our payment processor).
• Customer Content: knowledge documents and materials you upload, roleplay conversation inputs, quiz responses, and evaluation data generated through your use of the Service.
• Other content: survey responses and support communications.

ii. Activity data

We capture usage history, including pages visited, session progress, roleplay and quiz results, session duration, device type, operating system, script errors, and IP address.

iii. Voice recognition

When you use voice-based roleplay, microphone access enables speech recognition. Audio may be sent to third-party providers (such as Google, Apple, or AWS) to convert speech to text. Audio that reaches Company servers under an agreed configuration is anonymized.

iv. Device and usage information

Through cookies, pixel tags, and tracking technologies, we collect device type, ISP, operating system, domain name, access time, referring pages, page views, IP address, and unique device identifiers.

v. Cookies and other electronic technologies

Cookies, clear GIFs, and similar technologies enable us to understand behavior, personalize preferences, and conduct research, analytics, and service improvement.

vi. Location information

General location information inferred from IP address is collected.

3. Cookies

Session ID cookies confirm user login status. Cookies store device type, device ID, and IP address information necessary for Service features.

4. Use of Information We Collect

We use information to:

• provide the Service, including account registration and transaction processing;
• respond to inquiries and provide support;
• communicate about accounts, promotions, and notifications;
• manage preferences and customize the Service;
• analyze and improve the Service;
• verify identity;
• comply with legal obligations;
• protect user safety and the integrity of the Service;
• prevent fraud and enforce our legal terms;
• administer and troubleshoot the Service.

Aggregated and de-identified data may be used without limitation.

5. Sharing Your Personal Data with Third Parties

Information sharing occurs with:

• Affiliates: AKA Intelligence affiliates may receive shared information.
• Consent / your direction: third parties receive information based on your consent or instruction.
• Service providers: vendors that provide data storage, AI/model processing, analytics, billing, customer service, security, and fraud prevention, under obligations to protect the information and use it only to provide their services to us.
• Protection of AKA Intelligence and others: to protect rights, safety, and property, and to respond to service requests.
• Legal requirements: to comply with law enforcement requests, warrants, subpoenas, and court orders.
• Business transfer: in connection with a merger, acquisition, asset sale, or financing.
• Aggregate / anonymous information: usage trends and reports shared without restriction.

We do not sell your Customer Content.

6. Data Subject Rights and Data Retention

You can update information through your profile settings and exercise rights to request access to or erasure of personal data, restrict or object to processing, withdraw consent previously given, export personal data you provided in a transferable format, and delete your account by following the instructions in the Service. Where the Service is used through an organization, some of these requests may be directed to that organization as controller.

We retain data until account deletion, after which anonymized data may be retained for analysis and improvement. Voice-recognition audio is deleted no later than five years after collection, though anonymized data may persist for improvement and research.

7. Children

The Service is intended for business use by individuals who are at least 18 years old (or the age of majority in their jurisdiction). The Service is not directed to children, and we do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us so we can delete it.

8. Information Security

AKA Intelligence implements administrative and technical safeguards designed to protect data. However, no method of transmission or storage is completely secure, and security cannot be guaranteed against determined attackers with sufficient resources.

9. Our Legal Bases for Use of Your Information

Where applicable law requires a legal basis, our processing relies on:

• Contractual commitments: honoring our obligations under the User Agreement;
• Consent: where required by law and in other cases;
• Legitimate interests: customer service, business analysis, security, fraud prevention, and legal management;
• Legal compliance: meeting legal obligations.

10. Consent to Transfer

Our systems operate in the Republic of Korea, where data protection laws may differ from those in your jurisdiction. Your use of the Service constitutes consent to the transfer of information to Korea and its processing in accordance with this Policy.
